TITLE:                          Associate, Corporate Relations

The Corporate Relations team is responsible for the partnerships Americares has with pharmaceutical companies and medical supply manufacturers in order to solicit gift-in-kind medical donations and funding in support of our international and domestic on-going medical assistance programs and emergency response work.


  • Manage gift receipt/verification compliance with new DSCSA (Drug Supply Chain Security Act) requirements

o    Oversee receipt of ASNs (Advanced Ship Notifications) and enter new donor information into inventory database

o    Work with distribution center staff to ensure that donor ASNs properly match corresponding gifts

o    Work with IT Department staff to ensure timely and seamless integration of ASN receipt processes into inventory database

o    Data entry of new products into inventory database

o    Verify receipt against donor packing lists/ASN information, values and donor restrictions, flagging gifts that are DSCSA non-compliant

o    Monitor for gifts missing DSCSA-required data or ASNs and gifts pending review

o    Manage gift filing in preparation for annual audit


  •  Inventory support and reporting

o    Run monthly reports to flag high-value gifts and route shipments for additional review

o    Process product donation paperwork

o    Assist with various forms of donor reporting

o    Oversee Emergency Response inventory to allow replenishment of shipped or short-dated stock

o    Monitor gifts for missing value data

o    Run reports on a regular or as needed basis, e.g. inventory, donor distribution and shipping histories

o    Monitor success of product requests

o    Liaise with DC to research and resolve gift receipt discrepancies, product inconsistencies and issues

o    Inventory discrepancy resolution

o    Track product recalls and inventory safety concerns


  • Administrative tasks

o    Assist with mailings

o    Respond to various outside inquiries

o    Assist with preparation for donor visits and conference travel

o    Collect donor listings for Americares Annual Report

o    Track donor financial grant activity and provide fundraising support

o    Manage database of corporate donor legal agreements

o    Support CR team with various forms of research

  • Bachelor’s degree
  • Must have prior office/administrative experience: handling business correspondence, meeting preparation, database and file management, customer relations
  •  Must have unrestricted authorization to work in the United States

Technical Skills:

  • Microsoft Office proficiency (Outlook, Word, Excel & PowerPoint)
  • Knowledge of Electronic Data Interchange systems would be beneficial
